  • Estate information: decedent details, executor information, and estate-related data you provide
  • Uploaded documents: financial statements, insurance policies, wills, and other estate documents
  • Extracted data: account numbers, institution names, policy details, and other information parsed from your documents
  • Usage data: pages visited, features used, and interaction patterns (anonymized)

2. How We Use Your Information

We use your information to:

  • Provide the Service, including document extraction, task generation, and letter drafting
  • Manage your account and subscription
  • Send transactional emails (welcome, password reset, task reminders)
  • Improve the Service through anonymized usage analytics
  • Respond to support requests

3. Data Storage and Security

Your data is stored on secure servers hosted by Amazon Web Services (AWS). Documents are stored in Amazon S3 with server-side encryption at rest. Database records are encrypted in transit via TLS. We follow industry-standard security practices to protect your information.

4. Third-Party Services

We use the following third-party services to operate Estate Assist:

  • Amazon Web Services (AWS): cloud infrastructure, file storage (S3), email delivery (SES), and document OCR (Textract)
  • Stripe: payment processing for subscriptions — we do not store credit card numbers
  • PostHog: anonymized product analytics — no personally identifiable information (PII) is sent to PostHog
  • OpenAI: AI-powered document extraction — document text may be sent to OpenAI for processing

We do not sell your personal information to third parties. We share data with third-party services only as necessary to provide the Service.

5. Cookies

We use essential cookies for authentication (session tokens). We do not use advertising or tracking cookies. Analytics cookies from PostHog are anonymized and do not contain PII.

6. Your Rights

You have the right to:

  • Access: request a copy of your personal data
  • Deletion: request deletion of your account and associated data
  • Export: download your estate data and uploaded documents
  • Correction: update inaccurate personal information via your account settings

7. Data Retention

We retain your data for as long as your account is active. Deleted documents are removed from storage within 30 days. When you delete your account, all associated data is permanently removed within 30 days, except where retention is required by law.

8. CCPA Provisions (California Residents)

If you are a California resident, you have the right to know what personal information we collect, the right to delete it, and the right to opt out of any sale of personal information. We do not sell personal information. To make a request, contact us at support@getestateassist.com.

9. GDPR Provisions (EU/EEA Residents)

If you are located in the EU or EEA, our legal basis for processing your data is your consent (provided at registration) and the performance of our contract with you. You have the right to withdraw consent at any time by deleting your account. You also have the right to lodge a complaint with your local data protection authority.

10. Children's Privacy

The Service is not intended for children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page. Your continued use of the Service constitutes acceptance of the revised policy.
